Spreadsheet Reports

The Report tool helps activate reports in Artsystems Pro. Rather than running a report for all records in a module, it is usually preferable to create a data set of the particular records to print. The report menus in each module will list a variety of reports to generate. Note also that users also have the option to select specific fields from the spreadsheet view to generate Spreadsheet Reports.

 

To Generate A Spreadsheet Report

  1. Select a set of records using any of the data set methods: Marked Record Set , View Set or Worksheet

 

  1. Customize the spreadsheet layout or select a pre-saved Spreadsheet Layout so the desired fields for the report are visible on your monitor

 

  1. Click the Report button to open the Run Report Screen.

  2. Click Spreadsheet on the Screen Selection Bar to open the Spreadsheet Screen.

  1. Select the Spreadsheet Options for the report:

NOTE: There is a limit to how many fields can appear on the report. Users can make adjustments to the Spreadsheet Layout in order to get all desired fields to appear on the report.

 

  1. The report will generate and open in Microsoft Word
    .
  2. Print the report document from Microsoft Word, or if needed save the report anywhere on the computer or network.

  3. Users have access to the Artsystems - Reports & Documents Toolbar whenever a report or document is generated. When users are finished with a report in Microsoft Word select Close Docon the Artsystems - Reports & Documents Toolbar to return to Artsystems Pro.

 


To Save a Spreadsheet Report with Images in MicroSoft Excel

  1. Follow steps 1 through 4 above.

  2. Select the Spreadsheet Options for the report and CHECK Include Image, but UNCHECK Double Space.
  3. Click Run and the RTF report opens in MicroSoft Word.
  4. In Word, click File>Save As> and choose the location to which you will save the file.
  5. In the SAVE AS TYPE drop down, select: Webpage, Filtered (*.htm, *.html).

  6. Name the file.
  7. Click Save.
  8. You will get a prompt about changing the format. Click YES.

  9. You will receive another prompt about Absolute Row Height. Click CONTINUE.
  10. Browse to the location at which you saved the file.
  11. Right-click, select Open With, choose Excel or open Excel and drag and drop the file into Excel.
  12. The file should open with all of the images visible, on the left, alongside the Work records.
