Works Value Screen

 

 

The Works Value Screen is separated into three areas: the Current Value Section, Value History Section, and the optional Track Values in Alternate Currencies feature, which will only be visible if the feature is turned ON in Preferences>Modules>Works>Currency. The Current Value Section is the upper section that displays the grey read-only most recent valuation, and the Value History Section in the lower spreadsheet view is where new Values are entered. There are six Value fields: Retail, Insurance, and Appraisal Values plus three User Value fields. The user-defined Value fields are extra value fields that may be customized for tracking other important values in your data. Only the Current Value Selections generate on standard Artsystems Pro reports, except for the Full Page Detail report. NOTE: In the example above the User 1 Value has been renamed to Fair Market Value.

 

It is best to change the caption for the User Value fields before entering any user Values in the Value History Section. User Value field captions may be changed in Preferences.

 

 

Artsystems Pro users may enter Values in a Non-Home Currency by selecting from the Curr. drop-down field, and the program will convert that Value to the user's Home Currency (that is, the same Currency which is set in the computer's Regions and Languages). The Conversion Rate is saved in the database in Works Module>Edit>Related Lists>Currencies.

 

NOTE: The Currency field is the only drop-down menu which cannot be edited.

 

 

A historic rate may be entered directly in the Currency Rate field by scrolling to the right using the scroll bar in the Value History Section and manually entering the desired rate. You may also Refresh the Rate from the Web with a simple right-click of the mouse.

 


 

 

To Add A Value

  1. Select the Type of Value to add: Click in the Type field on the first available line in the Value History Section, and select the desired type of value to add (Retail, Insurance, Appraisal or any customized User Value).
  2. Add the Value Date: Click in the Date field and the data entry date will appear, adjust the date if necessary to an earlier date, by typing over the date displayed.
  3. Enter the Alternate Currency if needed: Click in the Currency field to select the desired currency from the drop-down list, then TAB to the Currency Rate field. TABBING (on the keyboard) to the Rate field will enable the last updated Rate to auto-populate the field
    NOTE: Currency Rates are updated from the Works Module>Edit Related Lists>Currencies tool. If the Value requires a different Rate, manually type in the Currency Rate to match the date. Or, right-click in the Currency Rate Field to select the most recent Rate update from the Web).
  4. Enter the value amount in the Value column.
  5. Add any comments as needed in the Notes column.
  6. The most recently added Value will appear in the Current Value Section (upper section of the screen). These are the Values which will generate on your standard Artsystems Pro reports.

 

 

 

Track Values in Alternate Currencies

This time saving tool enables Artsystems Pro users to set up, link and view up to six (6) alternate (foreign) currencies based on conversion rates updated from the Internet or fixed rates defined by Artsystems Pro users. Links may be set or unlinked at any time, when entering new Work, reviewing a Work record, or creating a Transaction. This feature is turned ON via Artsystems Pro Preferences and will enable the additional currency fields to appear on the Value Screen.

 

 

 

 

 

In the example above The Home retail amount is based in EUR. There are six Value Types linked (USD Retail, GBP Retail, RUB Retail, USD Appraisal, USD Insurance, GBP Appraisal)

 

  1. Home Retail ( 50.000,00 €) was set up in the wizard when entering the work. Adjust or change the Home Retail by adding a Value Row with the Retail Valueof your choosing. See To Add a Value above.
  2. The Linked Alternate Currency (GBP Retail) is automatically converted with the default Currency Ratedefined in Related Lists.
  3. The Linked Alternate Currency (USD Retail) is automatically converted with the default Currency Ratedefined in Related Lists. It can be used as a reference to see the Currency Rateused in the conversion.
  4. Overwrite the Alternate Currency ( USD Retail ) to a round off amount to serve your pricing and use the best Currency to your advantage.

 

NOTE: The Use non-local currencies for Works feature is set in Preferences>Modules>Transactions. This setting can integrate with the Track Values in Alternate Currencies feature. With both features turned ON, the Work's Financials are set as a Fixed Alternate currency rather than the workstation's HOME currency specified in the computer's Regions and Languages setting. The Track Values in Alternate Currencies feature can adjust to display alternate Retail Values instead of the workstation's HOME currency.
