Works Provenance Screen

 

 

The Provenance Screen is for recording information of the Work's past and present ownership. Each Provenance record includes a field to enter the formal Credit Line for the collector, the dates of ownership, provenance notes, and an option to link the record to the collector's contact record for research purposes.

 

Use the Current Owner field to note who currently owns the work. Current Owner links to a Contact record and will update automatically when the work is sold. Current Owner Dates and Credit Lines may also be entered if desired.

To Enter A Provenance Record

  1. Enter the Credit Line for the Provenance entry: On the Provenance Screen, click in the Credit Line column on the first available line and enter the formal Credit Line to use for the Collector.
  2. Confirm that the Credit Line may be Published: The Publish column is used for circumstances where it is necessary to get permission from the collector in order to publish the collector's name. The Publish column must be checked in order to print Credit Line on any Provenance report other than Full Page Detail reports.
  3. Enter Provenance Notes: In the Notes column add any important information about the record.
  4. Link the Provenance record to Contacts in the Collection field: The Collection column provides a method to gather information about works collected by anyone in the Contacts module. Using this feature requires all past owners to be entered in the Contacts module, however users can also simply type the Contact name into the Collection field. Entering data in the Collection column is optional, however linking provenance to a Contact record in the Collection column allows users to easily see artwork in a Contact's collection directly on the Contacts Statistics: Collection Screen. (NOTE: Only collection information documented on the Works Provenance Screen will be visible in Contacts Statistics: Collection Screen).  

  1. To link to a Contact record, click in the Collection column and click the Lookup button to open the Contact Selection list. Search to find the Contact, and click OK. If the collector is not in the list, click the New Record button to add a new Contact if desired.
  1. Enter the real name of the collector in the Collection field: The Collection field is unique in that it may be used to link to Contacts or simply to type directly in the field to add the name of the collector. This is particularly useful when a collector requests for the Credit Line to be listed as Private Collection. Since only the Credit Line will print on reports, add Private Collection as the Credit Line and type in the real name in the Collection field. To type directly in the field, click once to open edit mode and type in the Collector's name.

Up/Down Scroll Tool

The Up/Down Scroll Tool is useful if Provenance records are not entered in chronological order. To move a Provenance record up or down, click to highlight the entire provenance line and use the Up or Down arrow (not your keyboard arrows) to move the provenance record up or down a row until it arrives in the proper order.
