Display Toolbar

The Display Toolbar is located on the bottom of the screen. The first component of the Display Toolbar is the Module Display Toolbar which works in conjunction with the Module Sidebar and the Main Content Screen (a.k.a. Spreadsheet View). The second component is the Main Content Display Toolbar which works in conjunction with the Main Content Screen.

On the Module Display Toolbar users can select either the Worksheet or the View Set options. The active option appears with the blue colored background, and the activated selection will control which data sets can be accessed from the Module Sidebar. In the example above we see that the Worksheet option is activated (the option with the blue colored background), and the Works folder is open on the Module Sidebar. The first item in any open module is All Works, All Contacts, etc. The second item is the Marked Record Set (labeled in the example above as Marked Works). Below Marked Works we see a listing of all the saved Worksheets for the Works Module.

 

The Main Content Display Toolbar is located just below the Main Content Screen. On the Main Content Display Toolbar a user can enable editing directly in the Main Content Screen, adjust how to view records (by selecting a saved Spreadsheet Layout or create a new Spreadsheet Layout). In the example above the row height was enlarged in the Main Content Screen using the Image Slider tool to display images in the Spreadsheet View.


Module Display Toolbar

Worksheet Button

A Worksheet is a saved static data set. Users can create a Worksheet from any data set (Marked Record Set or View Set). The Worksheet can easily be activated again in the future. Examples of types of data to incorporate in saved Worksheets are exhibition lists, or works a particular collector is interested in, or to document who received a particular exhibition invitation.

 

 

Action Button Description
To view all saved Worksheets Click the Worksheet button to activate Worksheets Users can open a module folder on the Module Sidebar and see all previously saved Worksheets.
To activate a saved Worksheet Click the Worksheet button to activate Worksheets Users can activate a saved Worksheet by clicking the desired Worksheet name in the Module Sidebar.
To delete a saved Worksheet Click the Worksheet button to activate Worksheets Users can highlight the unwanted Worksheet on the Module Sidebar and select the Delete button on the Display Toolbar to delete the Worksheet.

View Set Button

A View Set is a method of grouping records that have the same attributes or meet a certain criteria, such as a list of all Available work, or all Sold work, or all Contacts who have purchased work by a particular artist. A View Set is a powerful search tool allowing the user to select specific criteria for records they are interested in viewing. Artsystems Pro gathers the precise records that meet the selected criteria to create the data set. To preserve a View Set for future use, simply rename the New View 1 that is created after you have entered your criteria to an easily recognizable name. Simply click on New View 1 to activate edit and type your new name.This saved View Set is dynamic and will change with your updates to the database. For example, if you base the View Set on a specific Location, any records that are subsequently changed to that Location will automatically be added to your saved View Set.

 

 

Action Button Description
To view all saved View Sets Click the View Set button to activate View Set Users can open a module folder on the Module Sidebar to see all previously saved View Sets.
To activate a saved View Set Click the View Set button to activate View Set To activate a saved Set, click the desired View Set name on the Module Sidebar.
To create a new View Set Click the View Set button to activate View Set Users can select the Add button (next to View Set button) to open the New View Set screen and create a View Set.
To edit a View Set Click the View Set button to activate View Set When a new or saved View Set is activated, select the Edit button to open the New View Set Screen for editing.
To save a View Set Click the View Set button to activate View Set When a set is created it appears on the Module Sidebar as 'New View'. Click in the New View entry and retype the label to a more recognizable name. Click off the entry and the new View Set name will save.
To delete a saved View Set Click the View Set button to activate View Set Users can click on a saved View Set name and select the Delete button on the Display Toolbar to remove an unwanted View Set.

 


Main Content Display Toolbar

Select/Edit Row Buttons

The Select/Edit Row buttons regulate the action that occurs when a user mouse clicks on a record in the Main Content Screen. Select either button for the task at hand. The blue background color indicates which button is activated.

Select Row button When the Select Row button is activated, users can open the Detail Screen by double-clicking on any record in the Main Content Screen.
Edit Row button When Edit Row is activated, users have the ability to edit certain fields in the Main Content Screen (NOTE: fields which are linked to other records are not editable in spreadsheet view).

Spreadsheet Layout Tools

The Spreadsheet Layout tools help users easily set up the optimal spreadsheet layout for any given task. Every database is delivered with two default spreadsheet layout selections:

 

Although the database as installed has two default spreadsheet views, users can create and save a multitude of customized spreadsheet views to suit any need. Select the desired view from the Spreadsheet Layout drop-down menu. NOTE: When a spreadsheet layout has been edited in any manner, the Spreadsheet Layout display will display as Local spreadsheet layout.

Select Complete, Basic or any saved layout from the Spreadsheet Layout drop-down menu.

Customize Spreadsheet button Utilize the Customize Spreadsheet button to create new spreadsheet layouts.
 

 

Image Slider

The Image Slider tool is a scroll bar which regulates the height of each row.

NOTE: In the Works module, when images are attached to records, moving the scroll bar to the right enlarges the image display in spreadsheet view. Move the scroll button all the way to the left to turn off the image display in Spreadsheet View.

Scroll the slider over to the right to enlarge the spreadsheet row height, scroll to the left to make the row smaller.

Record Number Display

The Record Number Display on the bottom right corner of the Artsystems Pro Screen will always display the number of records in the module or data set. This feature is particularly useful when generating data sets and needing to see the total number of records in any given data set.

 

Look for the total record count in data sets by checking the Record Number Display in the lower right corner of the program.
